Administrators
Run the club, not the spreadsheet.
Build the roster before anyone accepts an invite: names, roles, jersey numbers. Accounts can’t split, so you’ll never spend an evening untangling two half-accounts for the same family. Contact details, emergency contacts and medical notes are the family’s to enter. No staff member can do it for them, you included.
- Everything the club owes, in one list. What’s due in the next 7 days and the next 30, across every league, each line naming the league that wants it.
- You set the rules, and the app follows them. Quiet hours, how often a coach may nudge, the gap between two events, how long someone’s access to medical details lasts. You can’t set anything the law doesn’t allow. The app stops you.
- Give access narrowly, never a master key. One person, one team’s records, for a reason you type in and a window you set. The family sees that reason word for word, and there’s no hidden way around it.
- The club’s own policy can never lock an admin out. A club that could lock itself out would have no way back in.
Coaches
Roster, safety card, game day.
- Who’s coming, one row per child. Two kids in one family means two rows, so nobody has to guess.
- The safety card, two taps away. One unlock on game day opens every emergency card on that roster, for that team and that game. Then it closes itself. Medical details open for the head coach; an assistant or manager needs access of their own. Every look is checked and written down.
- A sideline concussion check in game-day mode: bigger buttons, red flags first, and a 911 screen that keeps working if the signal drops while it’s open.
- Coaching qualifications, tracked team by team. Cleared for U12 but lapsed for U14? You keep the U12 bench and lose only the other. And different kinds of suspension never cancel each other out.
Team managers
The person who holds it together, with software that remembers for them.
Right now your manager keeps every deadline in their head, and finds out at the gym door when one slips. Ontario Basketball alone hands the role a dozen of them, each one belonging to the league the game is played in. Most cost a forfeit rather than a bill. The app watches all of them. Three it also prices, as an estimate: a late cancellation, a no-show, pulling out of a championship. For the rest it gives the deadline and doesn’t guess at a price.
The deadline clocks, run for you
Registration and qualification windows. The 48-hour cancellation countdown, with an estimate of the fine. The 21-day scheduling window, the 24-hour playing-time report, results deadlines.
Duty rosters that don’t empty themselves
A home game that needs three minor officials has three slots. Rotations move on as people take their turn. A swap doesn’t leave a hole. And a parent can claim a slot from an email without signing in.
“Who’s up this weekend”
One message with the weekend’s games and duties together, and a list of who’s next: the households who’ve done the fewest turns. Never a list of who’s let everyone down.
The game-day pack
A pre-game checklist from the league’s own rules. A jersey colour worked out from the matchup, and an honest “unknown” rather than a guess. A one-hour protest window that quotes the league’s wording and closes itself on time.
Families & players
When, where, and who’s coming.
- Every child and team on one calendar. Brothers, sisters, different teams: one list, with the child’s name on every row and every reminder.
- One tap to answer, in the app or straight from the notification. From an email it’s two: the link opens the answer, the parent confirms it, so a link scanner can’t answer for them. A grandparent can do it with no account.
- Their own record of who looked. A parent sees who opened their child’s emergency or medical details, and when. Admins included.
- Their games in their own calendar, free. Apple or Google, switched off again any time.
- Always free for families. The club pays for the software. No card, no ads.
- Quiet by default. The reminders that matter arrive; the rest stays silent. Contact details are never an open directory.
